Nexus Athletica (“Nexus,” “we,” “us,” or “our”) operates the Nexus Athletica storefront and the Nexus Elite Athletic Academy. This Privacy Policy explains how we collect, use, disclose, and protect information from visitors and users of our website and services.

By using our website or enrolling in our programs, you agree to the terms of this Privacy Policy. If you do not agree, please do not use our services.

This policy applies to both our e-commerce storefront and our athletic academy programs, including Track & Field and any other sports programs we offer.

Academy Registration

  • Athlete full name and date of birth
  • Age, gender, and school name
  • Medical conditions, allergies, and current medications
  • Preferred track & field events and uniform size
  • Parent or guardian name, phone number, and email address
  • Emergency contact name and phone number
  • Payment plan selection and electronic signature

Website Usage

  • IP address and browser type (for site functionality only)
  • Pages visited and session duration
  • Device type and operating system

E-commerce

  • Billing and shipping address
  • Order history and product preferences
  • Payment information (processed by our payment provider — we do not store card numbers)

How We Use It

We do not sell your personal information. We do not use your data for targeted advertising. We do not share your data with third parties for their marketing purposes.

COPPA — Children Under 13

Nexus Elite Athletic Academy serves athletes ages 4 to 14, which means we knowingly collect personal information from children under the age of 13. We take this responsibility seriously and comply fully with the Children’s Online Privacy Protection Act (COPPA), enforced by the Federal Trade Commission (FTC).

COPPA Disclosure

Before we collect any personal information from a child under 13, we require verifiable consent from that child’s parent or legal guardian. This consent is obtained during the academy registration process.

The personal information we collect from children under 13 is limited strictly to what is necessary for their participation in our programs:

  • Full name and date of birth
  • School name
  • Medical conditions, allergies, and medications (for athlete safety)
  • Preferred events and uniform size
  • Gender (for team and event assignment)

This information is used solely to manage the child’s participation in Nexus Elite Athletic Academy. It is never sold, shared with advertisers, or used for profiling.

Parental Rights

Under COPPA, parents and legal guardians of children under 13 have the following rights with respect to their child’s personal information:

Review

Request a copy of all personal information we have collected about your child.

Correct

Request corrections to inaccurate or incomplete information about your child.

Delete

Request deletion of your child’s personal information from our systems.

Withdraw

Withdraw consent at any time. This will result in removal from the program.

To exercise any of these rights, contact us directly at nexusathletica@gmail.com. We will respond within 10 business days. Note that requesting deletion of your child’s data will require their withdrawal from academy programs, as we cannot operate safely without the required medical and contact information.

We will not condition your child’s participation on providing more personal information than is strictly necessary for their enrollment and safety.

Third Parties

We share personal information only with the following categories of third parties, and only as necessary to operate our services:

  • Payment processors — to handle registration fees and installment payments securely. They are contractually prohibited from using your data for any other purpose.
  • Email service providers — to send you program communications. They process your email address only as directed by us.
  • Coaches and staff — relevant program and medical information is accessible to authorized Nexus Elite Athletic Academy personnel for athlete safety and program management.

We do not use behavioral advertising networks, third-party analytics that track individual users across sites, or any service that would share children’s data for commercial purposes.

Data Security

We maintain reasonable administrative, technical, and physical safeguards to protect personal information — including children’s data — against unauthorized access, disclosure, alteration, and destruction. These measures include:

  • Encrypted data transmission (HTTPS/TLS) across our website
  • Access controls limiting staff access to data on a need-to-know basis
  • Secure, managed database infrastructure
  • No storage of raw payment card numbers

Data Retention

We retain personal information only for as long as necessary to fulfill the purpose for which it was collected:

  • Academy registration data is retained for the duration of the athlete’s enrollment and for up to one year after the final season, for program continuity and safety reference.
  • Children’s personal information is deleted upon a parent’s written request, or automatically after the athlete ages out of the program and one full season has passed.
  • Payment records are retained as required by applicable tax and accounting law, typically 7 years.
  • Website usage data (IP addresses, session logs) is retained for no more than 90 days.

Per the 2025 COPPA Rule update, we limit children’s data retention to the minimum necessary to fulfill the purpose of collection.

Your Rights

Regardless of whether COPPA applies to your situation, all users of our services have the right to:

  • Know what personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Opt out of non-essential communications at any time

We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. For material changes — particularly any changes to how we handle children’s data — we will notify affected parents and guardians directly via email before the change takes effect.

Your continued use of our services after any change constitutes acceptance of the updated policy.
